Job Description
Front Desk Management:
Greet and welcome students, parents, staff, and visitors with a warm and professional manner.
Manage the reception area, ensuring it is tidy, organized, and reflects the school's welcoming atmosphere.
Communication Handling:
Answer and direct phone calls promptly, taking accurate messages when necessary.
Handle inquiries from parents, students, and staff in person, over the phone, or via email, providing accurate and timely information.
Visitor Management:
Manage the visitor log, ensuring that all visitors sign in and are appropriately escorted or directed.
Issue visitor badges and maintain a secure environment by following the school's security protocols.
Administrative Support:
Assist with various administrative tasks such as filing, photocopying, and managing school correspondence.
Distribute mail, notices, and information to students and staff as needed.
Student and Parent Interaction:
Provide assistance to students with inquiries and support needs, directing them to the appropriate department or staff member.
Communicate effectively with parents, addressing their concerns and providing necessary information about school activities and policies.
Event Coordination:
Assist in organizing and coordinating school events, meetings, and parent-teacher conferences.
Manage RSVPs, prepare materials, and ensure smooth logistical arrangements for events.
Record Keeping:
Maintain accurate records of student attendance, late arrivals, and early departures.
Update and manage the school's contact lists, directories, and emergency contact information.
Technology Use:
Utilize the school's management software and other relevant IT tools for managing student records and communication.
Assist staff and parents with basic IT-related inquiries related to school communications.
Professional Image:
Uphold a professional appearance and attitude at all times, reflecting the school's values and standards.
Maintain confidentiality regarding school matters and student information.
Job Specification
Education:
High school diploma or equivalent; additional certification in office administration or related fields is a plus.
Experience:
Minimum of 2 years of experience in a receptionist or customer service role, preferably within an educational setting.
Communication Skills:
Excellent verbal and written communication skills.
Ability to communicate effectively with a diverse group of individuals, including students, parents, staff, and visitors.
Organizational Skills:
Strong organizational and multitasking abilities.
Attention to detail and accuracy in handling administrative tasks.
Technology Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with school management software is an advantage.
Interpersonal Skills:
Friendly, approachable, and professional manner.
